Hello ACGS Members.

For the first time in our history we will be holding our Annual General Meeting (AGM) virtually. It will be held on October 3rd at 4:00 pm Eastern Time using Zoom. Due to COVID-19, the Mayor of the District of Columbia has declared a health crisis and has determined that online annual meetings are legal if our Bylaws allow it. We have drafted a Bylaws change to permit it, but it must be approved by the General Membership at our AGM. That’s you. We need your approval to make this change and conduct our meeting electronically.

You will each be receiving an invitation to the Zoom AGM via the email you have indicated in your membership data on our web site. You will also be receiving an electronic ballot from election buddy by email. The ballot will contain the slate of officers up for election submitted by the Nominating Committee, the new trustee nominated by the current trustees and the Bylaw change recommended by Council. The ballot will be open for voting after the annual council meeting concludes. This should be at approximately 4:00 pm eastern time on October 2nd. Voting will be closed one hour before the AGM begins at 3:00 pm eastern time on October 3rd. It is very important that you cast your vote prior to the AGM. Even if you can’t attend the AGM, please take the time to cast your vote. The success of this may be used in future endeavors when voting in person is not practical.

The AGM is expected to be shorter than what you are used to if you attended a full Gathering. We intend to conduct the business that is necessary to see us through this health crisis. It should only last a couple of hours at the most. This will be precedent setting for us and will prepare us for any future eventualities.
